Minutes of the BAOC Board Meeting held February 19, 2025

Present: Officers – Stephanie Maclean (President), Tapio Karras (Vice President), Graham Brew (Event Coordinator), John Richardson (Secretary), Gary Kraght (Treasurer); Board members – Dan Greene, Steve Haas, Jeff Lanam, Matej Šebo, Dennis Wildfogel; Visitors – Van Boughner, Nick Corsano, Ian Smith, Chuck Spalding, Sarah Williams, Gavin Wyatt-Mair

The meeting was held via Zoom. It was called to order by the President at 7:34 PM.

President’s Report

The President opened with an update on the upcoming Western States Championships. The event preparations are well on track, but there are still volunteer positions to be filled.

Graham Brew was congratulated on receiving the BAOC 2024 Service Award.

Budget Proposals

The E-Punch Director proposed purchasing 12 BSF9 E-punch stations to replace lost and broken units. This will require an additional budget of $1544. (There may also be a need to replace the batteries of other units, but this will be investigated separately.)

The Treasurer proposed acquiring a $3200 inventory of E-sticks (a mixture of SI-Card9 and SIAC) to be sold via EventReg. The E-sticks will be sold as a convenience to event participants at the regular retail price, i.e., they will not be subsidized by the Club.

Both motions were seconded by the Mapping Director and were passed unanimously.

Registration Director

The President appointed Sarah Williams to replace Steve Haas as the Registration Director. Steve will continue to serve as a Board Member. All present voted in favor.

Website Discussion

Van Boughner, BAOC’s long-serving Webmaster, presented a demo of the new website currently under development. The Board provided feedback and suggestions, and expressed gratitude to Van for his extensive work to refresh the website.

POLY25

The Mapping Director provided an update on POLY25, the upcoming Sprint weekend in San Luis Obispo. NRE sanctioning has been granted and permitting is in progress. The event will be publicized at the upcoming Western States Championships, with the proviso that permitting is still in progress.

The meeting was adjourned at 8:50 PM.
