Minutes of the BAOC Board Special Meeting held April 15, 2021

Present: Officers Marie-Josée Parayre (President), Stephanie Maclean (Vice President), Nick Corsano (Secretary), Sharon Evans (Treasurer); Board members Bob Cooley, Dan Greene, Steve Haas, Jay Hann, Jeff Lanam, Dennis Wildfogel; Visitors Gavin Wyatt-Mair, Evan Custer, George Minarik, Misha Kreslavsky, Tapio Karras, Graham Brew, Sarah Williams, Chuck Spalding.

The special meeting was called to make decisions about the California Orienteering Festival. It was held via Zoom. It was called to order by the President at 8:03 PM.

California Orienteering Festival – Gavin Wyatt-Mair

The Cal-O-Fest committee recommends:

The U.S. and Canadian federations and the International Rogaining Federation are all supportive of the postponement to 2023. The courses for this summer will have minimal overlap with the planned Cal-O-Fest courses. To help achieve this, the Sprint event may be held at Sierra College.

Gavin outlined the way the committee had brainstormed different options, and developed criteria for evaluating them.

Gavin presented three options for handling the existing entries. It was moved and seconded to instruct the committee to present the policy where all registrations are carried over to 2023, and people may request a refund (100% for a certain period of time, then 90%, then 80%). An amendment was offered also to allow people to transfer their money paid to Tahoe 2021 registration. The amendment passed. The amended motion passed.

Finances: $19K has been spent on marketing and such; $43K on assets (maps and equipment), $141.5K collected in registrations; $24K loan from Orienteering USA has been extended. Have applied to Australia for a $17K loan (previous loan has been repaid).

National Events Coordinator Dennis Wildfogel asked the Cal-O-Fest Committee to take on the leadership of Tahoe 2021.

It was moved and seconded to accept the Cal-O-Fest Committee’s recommendations as shown above. The motion passed. The postponement of the Festival would be announced on April 21.

The meeting was adjourned at 9:55 PM.
